“Well-prepared for visiting clients has never been overdone”
On the business, it is common situation to visit clients or customers. Every business person should understand the manner to visit clients/customers to avoid being rude to them.
In advance (after you make an appointment), you have to check company’s information once again and prepare for some necessary documents for meeting. And search traffic information, how to get to the client’s office and how long does it take, so that you won’t be late for the appointment time. ※being late is worst when you made an appointment. Please be arrived at lease 10 mins before appointment time.
Before you get entered clients’ office, turn off or set your phone on silent mode and check your appearance once again. (it’s rude when you use clients’ office bathroom for checking your appearance).
Tell receptionist your company name / your name / who you visit for / reasons / whether you have appointment or not. Then wait the instruction from the receptionist and follow that instruction. When you leave the waiting room due to bathroom or calling, you should definitely tell receptionist where you go.
When receptionist guides you to the meeting room, then sit the lowest position and wait the person who is handling the meeting. When he/she is coming to the meeting room, then stand up and tell your appreciation that they made a time for you and exchange the business card with introducing yourself. It’d better to ask clients schedule after meeting, so you know how long you have for meeting.
Before you finish meeting, you should check the main points of meeting with clients again to avoid misunderstanding between you and clients. To do this, you’d better take memo during meeting. Then tell clients your appreciation and leave office.
